How to create an event
Event Settings
- Go to Events and New Event to get started.
- Event Name: Enter the name of the event as it will appear to the customer.
- Event Category/Genre: Select a relevant category and genre for your event.
- Event Description (optional): Add a promotional description of your event.
- Main Event Image & Thumbnail Image (optional): Upload any desired event images. Hover over the info icon to see the suggested image dimensions.
- At this stage, either scroll to the bottom of the page and save changes to continue your setup or explore more event settings below.
Explore some of the optional event settings available below:
Venue Settings
- Select Add Venue
- Select if your event is online or at a physical venue
- If taking place at a venue, populate the venue's address. A map will populate with your venue's location, and you can drag the red pin into position if needed.
- Venue telephone number and Venue Email Address can be included if you are offering a box office service. Leave blank if offering online bookings only.
- Save Changes to continue.
Date Settings
- Select Add Date
- Assign the date and time of your event.
- Either Scroll to the bottom of the page and save changes to continue or explore other settings below.
- Doors Open Time: Specify when doors open for your event. The doors open time will display on the customers eticket.
- Ending Date and Time: Once enabled, an end time will show on your event pages so the customer can see the duration of the event.
- Start Ticket Sales On: Specify when you would like to commence sales on your event. The event will show as 'coming soon' until it is on sale.
- Stop Ticket Sales: Ability to amend when ticket sales cease for your event.If an ending time has been specified, you can choose whether to base this on the start or end time of your event.
Ticket Allocation Settings
- Select Add Ticket Allocation
- Select ticket Allocation:
- Option 1: Select if tickets are allocated from a general admission quota and click Save Changes to continue
- Option 2: Select if tickets are allocated on a seating plan and select add new seating plan and save changes to continue.
Section Settings
- If your event is a general admission event, include the capacity of your event and save changes.
- If you're using a seating plan for your event, this section will automatically be populated with the sections listed on your seating plan.
Price Category Settings
- Select Add Price Category
- Enter the Price Category Description
- Specify the price of the ticket.
- At this stage, either save changes and repeat the process if you have multiple prices or explore the additional settings below.
Going Live
- If you have multiple dates, then click the copy icon under the dates column to replicate your setup. Simply modify the new entry to your required date/time
- Once you are ready click the Activate Event at the top of the page and follow any on-screen prompts.
How to preview your event
In-house Booking Process
From your TicketSource dashboard, you can view how ticket sales would look for any in-house bookings (i.e cash, complimentary bookings) by clicking Book Now next to the relevant event date.
Customer Online Booking Process
To view how your ticket sales will look to customers booking online -
- In your dashboard, Go to Events and Publicise Events.
- Select the relevant event from the drop-down list.
- Click the link under Ticket Shop URL.
Additional/Advanced Event Settings
Refund and exchange policy
- Refunds: Offer customers the ability to receive an automatic refund or request a refund for approval.
- Exchanges: Allow customers to exchange their tickets based on your exchange policy.
Ticket Settings
- Eticket Cover and Footer Image: Upload your own header and/or footer image to display on the customers eticket
Questionnaire Settings
- Question: Description of the question that appears to the customer during the booking process.
- Ask: Select whether to ask each person in the booking or once overall.
- Response Type: Select if you wish for the response to be open-ended, selected from a multiple choice drop-down or a yes/no response
- Response: Select whether you wish for the response to be optional or required.
Advanced Settings
- Event Reference: Offers the ability to assign an internal event reference, which will display on sales reports and settlements.
- Event Comments/Conditions: Additional comments shown below the event title (e.g 'Strictly over 18s only')
- Event Accessibility Information: Provide information to your customers regarding your events accessibility
- Event Information to accompany the booking confirmation: Information will be included within the booking confirmation email. This is useful for adding any details to help the customer with their visit or what to expect on the day, such as FAQs.
- Ticket Description: Change the terminology of tickets to passes or places
- Doors Open Description: Change the terminology of doors open to admission or arrive from.
- Section Description: Change the terminology of sections to area, zone or category
- Attendee Settings: Select if you wish to record details of each attendee in the booking rather than just the lead booker. Also which information you wish to record on each attendee.
- Show event in ticket shop and public searches: Disabling this setting will hide an event from public searches allowing you to review the event before going live or send a hidden link for customers to book.
- Waiting List: Enable a waiting list when tickets have sold out
- Restrict Ticket Sales: Limits the number of tickets each customer can book. The customer will also not be able to make subsequent bookings.
- Password Protect Ticket Sales: Once enabled, only customers with the password will be able to book tickets. Useful for priority on sales or events with select audiences.
- Third Party Marketing Consent: Ability to record a second level of marketing consent for third-party organisations such as the promoter if you are looking to share data outside of your organisation.
- Terms and Conditions Associated With The Event: Any event specific terms and conditions can be included here. The customer must read and agree to these terms before completing their booking and a copy of the terms will be included in the booking confirmation and eticket.
- Analytics and tracking: Enable analytics tracking for a specific event for Google, Meta or X. Account level analytics can be entered in Settings and Analytics.
Additional Price Category Settings
- Flexible Price Category: Offers a 'pay what you can' option to the customer. Specify the suggested and minimum amount for the ticket, and the customer has the ability to specify their own price they wish to pay.
- Comments/Conditions: Displays additional information under the price category description. Useful for including clarification on concessions details and age groups on tickets.
- Group Ticket: Ability to assign a price category as a group ticket to admit multiple people, such as family offers and large group discounts.
- Minimum/Maximum Selection: Offers you the ability to enforce a min or max selection for a specific price category.
- Mandatory Price Category: Once enabled, the customer cannot proceed with a booking without at least one ticket selected.
- Members Only Price Category: Price category will only be available to pre-existing members in your customer database. They will need to enter their member number and last name to access tickets. To find more information about see our helpdesk article on Members Tickets
- In-House Bookings Only: This setting will hide the price from the public booking process but will still be available to you via the in-house booking process from your event creator dashboard.
- Password Protected Price Category: Ability to lock a price category with a password. Customers will need to enter the password to gain access to this price category.
- Price Category Total Ticket Availability: Offers the ability to limit the number of tickets for a specific price. Useful if offering a discounted rate or early bird offer.
- Price Category Start and End Date: Offers the ability to assign when a price is available to be booked and removed from sale. Useful for setting up early bird offers limited for a certain period.
