Arts Council England - Illuminate Integration (UK Only)

Overview

Illuminate is an Audience Data Platform for arts and cultural organisations, commissioned by Arts Council England. TicketSource offers a fully automated integration to share your ticketing data from TicketSource with the Illuminate platform.


1. Getting Started


  • If you have not already done so, you will need to contact your representative at Arts Council England to ensure you have been provided access to the Illuminate platform.
  • Illuminate integration is not enabled as standard within the TicketSource platform. Please contact us from an admin user listed on your TicketSource account
  • TicketSource charges a one-off fee of £25+VAT to cover the administration cost of configuring your TicketSource account for Illuminate integration.
  • You will be provided with your TicketSource event organiser reference, which will be required when connecting your accounts.


2. Event Preperation


Assign a Box Office Reference ID

Before exporting your data, you will need to ensure your TicketSource event(s) have been assigned a Box Office Reference ID, which matches the ID within your Illuminate platform. 


  1. Go to Events and select Modify Event
  2. Select the relevant event and click modify
  3. Under the event title in the Event column, click the edit/pencil Icon
  4. Enter your desired ID within the Box Office Reference ID field
  5. Click save changes


Box Office Reference ID's can only be added to existing and new events. For past events, a reference ID can be added to the .csv export before uploading into Illuminate. 


Assign a Concession Flag

The Illuminate box office data upload includes a "concession flag" to indicate if a price category is either a concession or full price. Within the price category setup of the TicketSource event designer, there is now the ability to assign a ticket category as either full price or concession, which will be included in the data export. 


To assign the Ticket Category for existing events:


  1. Go to Events and select Modify Event
  2. Select the relevant event and click modify
  3. Under the price category description in the Price Category column, click the edit/pencil icon
  4. Select the relevant Ticket Category (Full Price or Concession) 
  5. Click save changes. Repeat this process for any remaining price categories.


Ticket Categories can only be assigned to existing and new events. For past events, a concession flag (1/0) can be added to the .csv export before uploading into Illuminate. 


3. Automated Export

TicketSource offers a fully automated integration with the Illuminate platform. Once enabled, TicketSource will pass over your ticketing data to Illuminate each Monday for all settled events from the previous week


You will need to be supplied your TicketSource event organiser reference. Please contact us if you have not already been provided with this information.


  1. From within your Illuminate dashboard go to **Organisation View **and select the Ticketing tab
  2. Click **Add Ticketing Provider **and select **TicketSource **from the available drop down.
  3. Enter your TicketSource event organiser reference into the **Reference **field
  4. **Provider Key **should be left blank
  5. Click +Add


To ensure no duplicate data is imported into Illuminate, TicketSource can include a from date to ensure past events are not included in future exports. Please advise if you wish for this setting to be applied to your account.


Only events with a Box Office Reference ID populated within TicketSource will be included in the automated export. A matching ID will need to be added to your Illuminate event. The Illuminate event can be added retrospectivley and ticketing data will be automatically appended.


4. Manual Export (Optional)

TicketSource provides a manual data export report in the required format to import into your Illuminate account. To export your data , you can do so by following the steps below


  1. Go to Customers and select Export Illuminate CSV 
  2. Select the relevant event and click Export Data
  3. A .csv file will be downloaded to your device 


If you wish to export data on past events without a Box Office Reference ID or Concession flag, these can be added to the .csv spreadsheet before being imported into Illuminate.
